Transparency isn't only about money. When a water pump fails, the board's first question is: "When was it last checked?" In most buildings the answer lives in the caretaker's memory or a lost notebook. Our operations module documents daily upkeep the same way the platform documents finances.
Staff panel
Lobby staff, caretakers and guards have their own panel, installable on a phone. Each role sees only what it needs; for example, lobby staff can complete checklists and book facilities for residents without any access to financial data. Roles and permissions are configurable per building.
Daily checklists
Management defines checklists per role or location, such as:
- Lobby: lighting, cleanliness, entrance and parking doors, cameras and intercom, anything unusual.
- Pump and boiler room: pressure and temperature, pumps and tanks, leaks or unusual noise, electrical panel.
- Security rounds: grounds and parking checks, emergency exits, shift notes.
Staff tick each item in their panel, and the time and user are recorded.
Checklist compliance
The reports show how consistently checklists were completed. For example, if the pump-room checklist was recorded on 27 of 30 days, compliance is 90%, and if the missing days were all holidays, the board knows a holiday cover plan is needed.
Staff as counterparties
Staff also have counterparty profiles with contracts and bank details, and salary payments are recorded as documented expenses. See accounting.
Contractors
Elevator, chiller, boiler, gardening and other contractors have full profiles and contracts, and every service invoice is recorded with its document.
A public page for every building
Each building gets its own public page at a dedicated address on the platform's website, the entry point for residents, staff and management.
